Studio Policies
Please review the following policies before your session. By booking with Podcast HQ, you agree to these terms. Our goal is to ensure every client has a professional, smooth, and productive experience.

Session Timing & Punctuality
- Session time begins at the booked start time, not arrival time. Late arrivals do not extend the session.
- Sessions must end on time to accommodate other clients. Overtime is billed at the standard hourly rate if space allows.
- If you need to cancel or reschedule, please provide at least 48 hours notice to avoid forfeiture of your deposit.
Guest Policy
- Each studio set accommodates a maximum number of guests — please confirm capacity when booking.
- All guests must remain within the designated studio area during sessions.
- Children under 16 must be accompanied by a responsible adult at all times.
- Guests who are not participating in the recording should remain quiet and minimize disruption.
Payments & Deposits
- A deposit is required to confirm and hold your booking. Deposits are non-refundable unless 48-hour cancellation notice is given.
- Remaining balance is due at the time of the session.
- We accept all major credit cards and select digital payment methods.
- Chargebacks or disputes will result in suspension of booking privileges.
Equipment & Studio Care
- All studio equipment is provided and must be handled with care. Clients are responsible for any damage caused during their session.
- Do not attempt to adjust, move, or reconfigure microphones, cameras, or lighting without engineer assistance.
- Food and drinks are permitted in the lounge/waiting area only — not inside the recording booth or near equipment.
- Personal equipment brought into the studio must be approved by staff prior to use.
Content & Conduct
- Podcast HQ maintains a professional, inclusive environment. Hateful, discriminatory, or harassing conduct will result in immediate session termination without refund.
- We do not facilitate content that promotes illegal activities, explicit adult material, or dangerous misinformation.
- Recording of staff without consent is not permitted.
- Clients are responsible for ensuring their content complies with applicable copyright and intellectual property laws.
Intellectual Property & File Delivery
- All content recorded during your session is owned by you, the client.
- Raw files are delivered digitally within 3–5 business days after your session.
- Edited files (for applicable packages) are delivered within the timeframe outlined in your package agreement.
- Podcast HQ may use non-identifying session footage for promotional purposes unless you opt out in writing.
Cancellation & No-Show Policy
- Cancellations made 48+ hours before the session: deposit is transferable to a future booking.
- Cancellations made within 48 hours of the session: deposit is forfeited.
- No-shows (arriving more than 20 minutes late without notice): session forfeited, full deposit lost.
- Podcast HQ reserves the right to cancel or reschedule sessions due to equipment failure or unforeseen circumstances, with full credit or refund issued.
